The Coordination Challenge

Coordinating large-scale drills often means juggling countless details: lodging, equipment, transportation, and communication.

Relaying and tracking this information manually can quickly become overwhelming. That’s where Mustr comes in. Its messaging tools and personnel structure features make drill preparation faster, more accurate, and easier to manage.

Scenario: A 2,000-Member Drill

You’re planning a drill with 2,000 service members. Some will need lodging, others won’t, and you need to manage that information efficiently.

How Mustr Simplifies Drill Preparation

  1. Send a Request for Information (RFI)

    Start by sending an RFI to all participants or units to collect essential details, such as who requires lodging, travel plans, or equipment needs.

    This ensures all logistics are based on up-to-date, verified data.

  2. Use RFI Responses to Create Temporary Teams

    Once responses are in, you can quickly form focused teams within Mustr.

    Example:

    • Team A: Members who need lodging

    • Team B: Members who do not

    How to do it:

    Select the relevant RFI.

    See grouped members based on their responses.

    Add selected members to a new or existing team.

    This makes it easy to send updates only to the people who need them.

  3. Create Temporary Management Teams

    Planning committees can also form temporary management groups to coordinate specific drill functions such as:

    • Drug Demand Reduction

    • Finance

    • Medical

    • PT (Physical Training)

    • JA (Judge Advocate)

    • HRA (Human Resources Administration)

    This structure ensures responsibilities are clearly assigned and communication stays targeted.

  4. Announce Planning Decisions

    Once logistics are finalized, use broadcast messages to share updates.

    For example, send a message containing a spreadsheet of hotel room assignments or travel details, all directly within Mustr.

  5. Send Real-Time Status Checks During the Drill

    As the drill begins, Mustr helps you maintain situational awareness with quick status checks.

    Send a simple status check like:

    • “Are you OK?”

    Service members can respond Yes or No, giving planners instant visibility into who might need assistance.

    Use this feature to confirm safe departures, arrivals, or check-ins at lodging sites.

  6. Collect Post-Drill Feedback and Data

    At the conclusion of the drill, send a final RFI to gather feedback on logistics, lodging quality, and overall satisfaction.

    When creating the RFI, select “Save answer to Tracker” to store results for future reference and reporting.

    This data helps improve future contracts, logistics, and planning efficiency.
