All Hands Emergency, Recall, and Drill Best Practices

When emergencies, weather events, or drills happen, AOK makes it easier to keep everyone informed and accounted for. Organization Leaders can send an All Hands message, and from there, Team Leaders can manage their teams’ responses.

Who Can Send an All Hands Message

Only AOK Organization Leaders or Org Messengers have the ability to send All Hands messages for mustr, recall, or drill scenarios.

Once an Org Leader or Messenger sends the message, Team Leaders can view their team’s responses or respond on behalf of members who reach out through other channels.

Sending an Alert (Org Leaders or Org Messengers)

Open the AOK app (or visit the desktop version at web.app.adytonpbc.com).

Click on the message icon "Send Message” in the bottom right corner.

Choose a Request for Information (RFI), this lets you share alerts, give instructions, and collect responses all in one step.

Crafting the Message

Target the “All Hands” team to make sure everyone gets the message.

Subject Line:

Use the subject line feature to make sure your message stands out, even if someone has poor cell service.

The subject line appears in the text body, so they’ll see it without needing to open the secure link.

Mark the message as “Urgent” if needed, this highlights it in red for app users.

Building RFI Questions

Location Inquiry:

  • Add a multiple-choice question asking where personnel are located.

  • Include the most common locations and turn off “Not Applicable.”

Safety Confirmation:

  • Add a simple Yes/No question: “Are you safe?”

  • Choose to be notified immediately if someone answers “No” so you can follow up right away.

Reviewing and Adjusting Questions

Arrange your questions in order of importance.
Start with “Are you safe?” at the top. Once you’re happy with the setup, send the RFI.

Tracking and Managing Responses

Watch responses come in, in real time.

Filter by team so each Team Leader can focus on their group.

If someone reports in through another method (like a call or text), Team Leaders can respond on their behalf.

Send reminders as needed and download a CSV report to keep accurate records.
