Maintaining an accurate and current roster in the Adyton Operations Kit (AOK)—particularly within Mustr—is essential to operational readiness and mission success. This guide outlines best practices for roster management, ensuring that your team can communicate quickly and act decisively.
Why Accurate Rosters Matter
Efficient recall and deployment hinge on one thing: reliable personnel data. The difference between a seamless 30-minute recall and a cumbersome 6-hour phone tree is the quality of your AOK roster. While each unit may have specific DoD reporting requirements, the principles below offer a universal approach to managing rosters in AOK.
Step-by-Step Guide to Roster Management
1. Integrate AOK Into In-Processing/ Out-Processing Checklists
Embed AOK onboarding and offboarding into your unit’s standard personnel workflows:
In-Processing:
Add new users to your organization (this automatically includes them in the "All Hands" team). Here’s how: https://help.adytonpbc.com/en/articles/6973799-how-to-invite-remove-users#h_318daa1b1f
Assign new users to their department or division teams.
For Khaki (leadership) personnel, designate them as team leads during in-processing to empower decentralized roster management. Here’s how to make designate a team leader: https://help.adytonpbc.com/en/articles/9596413-aok-roles-permissions#h_ffd2677a65
Out-Processing:
Remove users promptly from the organization to keep data accurate. Here’s how to remove users from your command’s AOK account: https://help.adytonpbc.com/en/articles/6973799-how-to-invite-remove-users#h_7dacdb8e75
* This will automatically remove them from all teams!
Users can self-remove from the app under Settings → Leave Org.
SMS-only users can reply “STOP” to unsubscribe (marked undelivered in message details).
2. Empower Team Leads
Team leads have the permissions to:
Add/remove users from their teams and the overall organization. The next screen after inviting a new user will ask which team(s) they should also be part of, include the person in their department team to save time.
Export team rosters for audits. Within the Team screen, click on the team, choose “manage team” then “manage” on the top right of the screen. Here you can request “Email me a full list of team members”
Ensure team composition reflects current structure. Teams can be built down three layers. Parent team (ex. department), Child team (ex. division), Grandchild team (ex. Duty station(s)).
Newly onboarded leaders can schedule AOK training with Adyton!
3. Bulk Upload for Efficient Updates
The bulk upload tool (found in People → More) allows rapid synchronization between your current recall roster and AOK:
Upload your new recall roster CSV to:
Add new users – these receive a welcome text (notify them of this in advance).
Flag users for removal – anyone not in the uploaded file is identified for deletion. You can opt to skip deletions if needed.
Update existing entries – if phone numbers or names differ, AOK will prompt for confirmation. * You can edit in the line by double clicking in the cell.
Highlight errors – missing/incomplete info is flagged and can be skipped or corrected.
✅ You can use this to build large teams by including a department field in your CSV. This creates and populates teams automatically without removing users outside the updated group. Be sure to skip deleting anyone who is not in that department!
📝 Note: Removing someone from the organization deletes them from all teams. Removing them from a team only affects that team.
4. Verification via Export (Optional/Secondary)
While no longer essential due to bulk upload, exports can still assist with local verification or audits:
For the full organization:
Go to People → +More Actions → Email me full list of members.
For a specific team:
Go to Teams → ⋮ (three dots) next the team → Manage Team → Manage→Email me full list of team members.
You can still compare these files with other spreadsheets if needed using Excel or tools like Microsoft’s Spreadsheet Compare, though this is now mostly redundant.
Final Thoughts
Roster management in AOK isn’t just about logistics—it’s about operational integrity. By embedding AOK into your processing, empowering your team leads, and leveraging bulk uploads, you ensure a state of constant readiness.
